Rates & Contracts

As Mosaic has art activities on Mondays, Tuesdays, and Wednesdays, our facility is only available for rentals on Thursdays, Fridays, Saturdays, and Sundays. When Mosaic is rented for a function, the Atrium and Main Hall are made available for the function’s invitees. Our facility can hold a maximum sit-down number of 232 guests.

Rates & Hours

Rental fees include:

  • 8 am to Midnight rental
  • Beverage Service + Bartender
  • Venue manager on duty during rental
  • Water station
  • Tables and chairs
  • Atrium TV
  • One-time set up, tear down, and cleaning

Rental hours begin at 8:00 am and all events must be completed and out of the building by midnight. The rental hours include time for other vendors associated with your event to enter the building. The renter is responsible for communicating with vendors/rental companies that they are only able to access Mosaic during rental hours unless previous arrangements are made.

At the end of the night, it is the renter’s responsibility to take all items they brought in with them, including boxes and storage containers for these items. If items are left behind after your event and you do not contact us within one week, we will consider the items as being abandoned property and will donate or dispose of them. We do not have the storage space to keep things long-term. Our staff will take care of our items (tables, chairs, linens) and bar garbage. The caterer is responsible for bussing tables of their food and taking all their food garbage with them. If your caterer doesn’t provide this service, it becomes the renter’s responsibility.

Renters that exceed their rental period will be charged an additional $75 overtime fee per each half-hour that the renter’s cleanup is not completed.

Mosaic rental reservations are not made until the renter has paid a non-refundable deposit of 50% of the room rental fee and returned a signed contract. The 50% deposit will hold the date. The deposit is not refundable upon cancellation of the event.

**All events on Friday, Saturday, or Sunday of a holiday weekend will be charged this additional fee.

Sales tax (8.7%) is not included within pricing.

BAR SERVICE, LICENSE & PERMITS

Mosaic has a Malt Beverage and Wine license and is unable to provide hard alcoholic beverages. No outside alcohol of any kind is allowed on the premises. All alcohol must be purchased through Mosaic. Noncompliance will result in the disposal of the outside alcohol and a warning to the guest and/or renter. If there is continued noncompliance, Mosaic will impose a $150 fee per incident.

The bartenders require proper identification to verify the legal drinking age and hold the right to deny services if proper ID cannot be produced. The bartenders may also refuse service to persons seeming intoxicated.

The beverage service requires a minimum of $500.00 in sales. If the event does not reach $500.00 in sales, the renter will be responsible for the difference. This amount will be billed within a week of the event. The beverage service will include a standard variety of beer, seltzers, wine, and soda. Events may select a cash bar or a partially or fully open bar. Special alcohol orders must be approved by Mosaic Director. All alcohol orders are dependent on availability from distributors. Up to two (2) beer kegs can be ordered. Renters ordering wine not ordinarily offered by Mosaic must agree to purchase by the case. Open bars, prepurchase wine, and keg rentals will include an automatic 20% prepaid gratuity.

If a renter does not want to use the beverage services during their rental, a $1,000 fee will be imposed. If the renter would like instead to use an outside bar service, an additional $1,000 fee will be imposed. Mosaic is not responsible for coordinating outside bar service. All outside bar service providers must have proper licensing to provide alcohol during the event on Mosaic’s premises.

DEPOSIT & PAYMENTS

The required deposit for event rental at the Mosaic is 50% of the daily rental rate and is due at the time of reserving the venue. This deposit is non-refundable. The venue is not reserved until the deposit payment and signed rental agreement are received.

After reserving the venue, 100% of rental fee are due 60 days before to the event. If any items are selected in addition to the room rental (e.g. kegs, day before decorating, etc.), payment for those items will be due the week of the event. Failure to pay the entirety of the rental fee before the event will result in a cancellation of the rental.

Delinquent payments may affect the status of the event and are subject to an additional 5% late fee.

Payments can be made through cash, card, check, or on the Mosaic’s website.

ROOM LAYOUT & GUEST COUNT

Final room layout and guest count must be agreed upon no less than 30 days before your event. If the space will be used for both ceremony and reception, the renter is responsible for rearranging chairs and tables and transitioning from ceremony to reception. The Day of Venue Manager will oversee and provide a pre-approved floor plan.

RESTRICTIONS

No changes or alterations to the building, its accessories, or its fixtures may be made. If any linens are damaged during your event, you will be charged the fee passed on to us by our linen vendor.  Only Mosaic staff are allowed in the basement and behind the bar. Caterers may use the large utility sink in the back linen room.

Disposable dishware is allowed but recyclable or biodegradable materials are preferred. No Styrofoam is allowed in the facility.

You may provide any licensed caterer of your choosing. Your caterer must provide table attendants to clear plates/silverware/trash, or you may provide your own table attendants. Mosaic does not have staff available for these services. No crockpots are allowed due to electrical circuit overload.

No outside beverages may be brought into Mosaic or be found on its grounds. Exceptions to this policy only include punch, lemonade, iced tea, and coffee, which may be provided by a caterer. No beverages, such as homemade beer and wine, soft drinks, or bottled water, may be used as favors or used at the bar. Hard alcohol is not permitted on Mosaic grounds and will be confiscated. Fines may occur.

 No smoking or vaping on Mosaic grounds. Mosaic grounds consist of everything inside the black railing, and outside of the quartzite rock border in the back. State Law provides that all smoking must be done twenty (20) feet away from any building entrance. Mosaic policy states that all smoking is to be done off Mosaic grounds and by the smoking posts at the end of each exiting sidewalk. If any of your guests are in violation of this policy, the renter will be given one warning. After the first warning you may be subject to a maximum $800 fine.

CATERING

Meals during events must be provided by a licensed caterer. The caterer must provide their operating license to the Mosaic’s Event Manager by the week of the event. No crockpots are allowed due to electrical circuit overload.

Any food or dessert not provided by a licensed caterer must be approved by Mosaic’s Director. Mosaic is not liable for any food or dessert not provided by a non-licensed caterer or other individual.

Some nonalcoholic beverages may be brought in for events, subject to approval by the Museum Director. These include punch, lemonade, iced tea, and coffee. Mosaic does not provide table-to-table water service, renters must coordinate with caterers.

The caterer is responsible for bussing tables of food and taking all food and garbage with them. Mosaic staff is not responsible for bussing tables or clearing items not provided by Mosaic. If the caterer does not provide this service, it becomes the renter’s responsibility.

DECORATING

Absolutely no confetti, popcorn, fireworks (including sparklers), rice, sand, birdseed, Silly String, glitter, tape, glue, nails, pins, spray paint, a spray of any kind, Play Dough, animals (including fish), may be brought in to Mosaic or be found on its grounds. Mosaic staff reserves the right to confiscate any of the above-listed materials. You are responsible for your guests’ abidance to this policy.

Open flame candles are not permitted. All candles must be surrounded by a glass receptacle at least two (2) inches over the flame.

Discounted white table linens may be provided, set, and removed by the Mosaic. If renters are bringing in their own special order linens, you are required to remove them promptly at the beginning of cleanup time.

All decorations must be removed by the end of your rental time.  If items are left behind after your event and you do not contact us within one week, we will consider the items as being abandoned property and will donate or dispose of them. Cleanup or disposal fees may be added to your final invoice.  Please make sure your vendors/rental companies are aware of this restriction as their noncompliance will be charged to the renter.

Renters can potentially decorate the day before their event for a fee of $150/hour for up to four (4) hours. The day before can only be booked within thirty (30) days before the event date if the day before is not already booked for an event. There are no promises or guarantees on availability. The day before decorating must occur during normal business hours (9 am – 4 pm).

INSURANCE

All renters must provide a copy of their proof of liability insurance ($500,000 minimum) to the Mosaic Director ten (10) days before the event date. Liability insurance needs to be in the form of a one-day event policy covering the day of the event. The policy must list Mosaic as an “additional insured” entity.

Renters who fail to provide proof of liability insurance will be charged $300 and Mosaic staff will provide the $500,000 liability coverage through the Mosaic’s insurance provider under the name of the renter. Mosaic has the right to bill the renter for theft, damage, or any destruction of property.

Any renter employing an agent that will be providing goods or services on the premises of Mosaic, such as catering or entertainment, must have the agent provide a copy of the agent’s proof of liability insurance ($1,000,000 minimum) to the Mosaic Director. All agents of the renter must provide proof of liability insurance before such agent’s set up on the Mosaic’s premises.

PARKING

Parking surrounding the Mosaic is available, but never guaranteed. Public parking is not metered after 5:00 PM on Fridays or all day Saturdays and Sundays. During the week, all parking around the south side and the west side of the facility is 2-hour parking and is subject to ticketing before 5:00 PM. Mosaic is not responsible for parking violations, tickets, or towing.  The large paved parking lot to the south of Mosaic across the street is available after 5:00 PM on Fridays. It will also be available on Saturdays and Sundays.

CANCELLATION

The Rental Agreement may be canceled only by written notice to Mosaic’s Director. Cancellation must occur 60 days before the original event date in writing, if not the renter will be responsible for the remaining rental amount. The remaining rental fee will need to be collected 60 days before the event or your date will be forfeited. Any money paid toward the rental will not be refunded.

Mosaic does not allow postponements or rescheduling once the deposit has been made. A postponement or rescheduling will cancel the current contract and the renter will forfeit the 50% security deposit.

If the Rental Agreement is canceled by the renter, the renter will lose the initial deposit of 50% of the daily rental rate.  If an event is canceled within sixty (60) days of the scheduled event date, the renter will lose their payment of 100% of rental costs.

Rescheduling and postponement may be allowed only if one of the following unforeseeable or uncontrollable circumstances occurs: a) local significant weather event resulting in significant road and business closures and/or declaration of stare emergency; b) flood, fire, explosion, or other event making the venue unusable; c) accidents causing serious injury to renters preventing them from continuing with event; d) other acts of God, law, order, ruling, regulation, pandemic, or other similar legitimate condition. If these circumstances occur, Mosaic will work with the renter to determine an acceptable alternative date for the event. If the event cannot be rescheduled or postponed after circumstances fitting the above, any prepayments will be refunded.
